Starting with the 8.3.0 release, Astra Schedule more fully supports end-to-end scheduling with the ability to edit and publish Banner-specific section record data from the Smart Schedule Sandbox (not just room assignments) when using the Banner API export option. These changes provide additional fields on the Astra section record in the sandbox and the ability to import and export these fields along with the other section data. Note that the new section data ONLY appears in the Smart Schedule Sandbox at this time.
In order to use these new fields, additional data must be imported from Banner. However, using this data is optional, and the import setting is turned off by default.
There are two imports impacted by this new feature: the Banner Lookups import, and the Banner Section import. The additional fields being added to the section record in the Banner section import must be able to reference values in new tables populated by the Lookups import. There are seven new fields included in this update. The Lookups import is new to Astra Schedule-only customers, but has always been a required import for Platinum. This import builds a master list of several different data types that can be referenced by other records as needed. To support the new Banner section fields, the Lookups import is required, and there are five new tables to which it needs access. The Lookups import must be performed at least once, before the initial section import, or any time thereafter if new values are added in Banner.
The Lookups import is a new import job that will need to be created and performed prior to the Banner Section import. This is a batch import job that is set up similar to the section import.
5 New Tables are required:
•SMRARUL
•SMRACAA
•STVSESS
•STVSSTS
•GTVMTYP
ALERT: If you are an Astra Schedule user and have not previously run the Lookups import, it is advised that you set each of the "Lookup Import Filters" options to "Do Not Import" in the job form. These settings correspond to the data types being imported. Most of these are applicable only to Platinum, but Meeting Types and Subjects are shared data types. Re-importing them using this job may create duplicate data in your drop down lists.
The existing Banner Section import is already being used to populate section data in Astra Schedule.
This import requires access to 7 New Fields:
•ssbsect_sess_code
•ssbsect_proj_enrl
•ssrmeet_catagory
•ssrmeet_credit_hr_sess
•ssrmeet_mtyp_code
•ssrmeet_hrs_week
•sirasgn_percent_response
The use of the new section field import is optional, and must be enabled in both imports before use.
A new parameter was added to both the Lookups and Section import job settings form. Both jobs must have this option enabled if you plan to import and use this data.
(This new option is only visible on the forms for Banner institutions at this time.)
On each batch import type - BannerLookupsImport and BannerSectionImport - a new Data Option is provided labeled E2E Scheduling Fields, as shown below.
This setting defaults to "Do not import". If you wish to begin importing the additional data, change this setting to "Import new fields".
