Working with Users

A user consists of login and other general identifying information, as well as associated roles through which application access and security is achieved. Every user record has a corresponding people record. When a user is created, the corresponding people record is generated automatically with “users” selected as a system responsibility.

View Users

Users can be located in the Settings area of the application. Choose the Users option to view the User List page. From the User List page you may search for specific users by name and limit the number of users displayed using the Find Users area on the left side of the page. Enter a keyword and/or a filter and select the Search button to return results. The list of users includes the user name, status, and their LDAP/Active Directory synchronization attributes (see “LDAP/Active Directory Authentication” for more information on this subject). To view additional details about a specific user, click directly on the user name from the list.

 

The user record includes a user name and Active flag, shown in the User Info section at the top of the window. The lower section of the window displays the role(s) associated with the user.

 

To edit a user, click on the user name on the user list page. The user details will appear in edit mode. Modify the user name, password, active status, and/or associated roles and profile groups as needed and click Save to return to your starting point.

 

To delete a user from the list, click the delete icon to the left of the user name. When prompted, confirm that you wish to delete the user. The user is removed from the list.

Add a User

To add a new user to the list, perform the following:

 

1.Click Add a User from the main user list window. A new user form will appear.

 

2.Enter a Username for the new user. The Username must be unique.

 

3.Enter the first and last name for the user.

 

4.Enter an email address for the user. The email address must be unique.

 

5.Enter and confirm a password for the user.

 

6.If desired, check the box next to “Must Change Password Next Login” if the user should be forced to change their password upon next login.

 

7.If LDAP/Active Directory authentication is enabled, you may choose to remove the user from LDAP authentication by removing the check next to Authenticate via LDAP. Additionally, you may choose to have the user authenticated via LDAP but not update their role information from LDAP by removing the check next to Sync Roles with LDAP Groups. See “LDAP/Active Directory Authentication” for more information.

 

8.In the section below labeled Security Roles, click the + icon and then select the role(s) appropriate for the user being created.

 

9.Choose Save to save your results and return to the main user window.
