This section contains notes from the Product Managers on specific high-level issue corrections or feature enhancements completed in the most recent build of Astra Schedule. Please review any issues listed under headings that impact your use of the product prior to installation.
Event Save Performance Improvements
This will address slow performance around saving an event especially those with a large amount of meetings.
Assign All Meetings to the Same Room
This feature allows a section record that has multiple meeting times and/or meeting types to be scheduled in the same room. The section form will have a flag that allows the scheduler to check "Assign All Meetings to the Same Room". This option only impacts room optimization and timetabling sandboxes, and has no effect during ad hoc scheduling.
Event Request Form - Map Additional Fields to the Event Form
Astra Schedule now includes functionality that allows additional fields from the event request form to be mapped directly to the event form. Previously, event schedulers were required to manually enter the information submitted by an event requester. Event request templates come with configuration options so the user can specify which fields and values are available to the event requester. The following fields will now map over to the event form:
•Event Name
•Customer
•Contact
•Phone Number
•Event Type
•Notes
•Descriptions
•Event Estimated Attendance
From the Event Meeting Generator
•Meeting Name
•Event Meeting Type
•Meeting Max Attendance
•Meeting Description
•Requires Room Flag
No enhancements were added to this build, as this was a small maintenance release to 7.5.12.61
Import/Exports
•PeopleSoft Institutions only
A change to the Unique Identifier logic being used for courses (and related records) is currently causing preexisting courses to incorrectly be duplicated or inappropriately altered in Astra Schedule. This could potentially cause issues with academic imports and any preference sets that are assigned at the course, course delivery method, or course meeting type levels.
This section contains notes from the Product Managers on specific high-level issues or feature restrictions that are known in the most recent build of Astra Schedule. These issues are slated for upcoming themed product maintenance releases, but could potentially impact customers that upgrade to this build of the scheduling system. Please review any issues listed under headings that impact your use of the product prior to installation.
Calendars:
Default Scheduling Calendars – (42847, 43509) The system is allowing multiple default scheduling calendars to be defined within a role profile and is causing display issues.
Avoid the issue – Make sure to only mark one scheduling calendar as the default. If you are changing which calendar is the default, remove the default flag from one calendar before checking the default on another.
Fix the issue – There is no current fix for this issue. It will be addressed in a future version.
"My Customized" Calendar Filters Do not Upgrade – (IN 17181) In the older scheduling calendar the user had the ability to create custom filters that once logged in as that user only they could see. Unless they were applied to a calendar definition as a "pre-defined" filter. In the new 7.5.11 calendars these filters do not appear anywhere. They are not in the upgraded calendar definitions. Only the filters applied to calendar definitions (pre-defined) show. The user that has created these customized filters will lose them if they upgrade.
Avoid the issue – This is unavoidable. If a user has created custom filters in previous versions, it does not upgrade to the new Scheduling Grids.
Fix the issue – There is no fix for this issue. Users must re-create personally customized filters.
Pre/Post and Setup/Teardown Meetings Cannot be Expanded Nor Use Drag and Drop Functionality – While event meetings on the calendar may be expanded the pre/post and setup/teardown meetings that are associated to the event meeting cannot be extended out. However, if you expand an event meeting the associated meetings will move with it.
Avoid the issue – These types of meetings must be manually adjusted in the event form.
Fix the issue – There is no current fix for this issue. It will be addressed in a future version.
Add to My Calendar is Not Adding Event Meetings - If a user hovers over an event meeting and then selects the add to my calendar icon a message is received that the new calendar does not contain any appointments. Agreeing to this message will then create a new calendar but no meetings will be added to it. Only applies to Events, section meetings are not effected by this.
Avoid the issue – This is unavoidable if a user chooses to use this functionality. They must manually add the calendar event to their personal calendar.
Fix the issue – This will be addressed in an upcoming build of 7.5.12
Scheduling Grids Switch Days Moving Between Room and Resource View - If a user selects a different date other than today's date and then switches from the room to the resource view it will change the date between views. It does not remain on the same date as it did in previous builds.
Avoid the issue – This is unavoidable between the room and resource view.
Fix the issue – This will be addressed in an upcoming build of 7.5.12
Events:
Adding Sections to New Event Request Templates Does not Save Correct Placements - If a user adds a new section to an event template it cannot be moved down the form. Once the save button is pressed the section immediately moves back to the top of the screen.
Avoid the issue – Create a new section in the event request template layout. Add an available field to the section. Save the layout form and close. Edit the template layout again, move the section to the area desired. Edit the section name or display name and save. New section will remain in place.
Fix the issue – This issue will be addressed in a future version of 7.5
Changing the Primary Contact in Astra Schedule Does Not Update the First/Last name Field in the Address row in Object Accounting - This will apply to users using the Accounting functionality in Astra Schedule. If a user changes the primary contact in the customer form within the Astra Schedule application and saves the customer record it does not update the Object Accounting client. When the user logs into Object Accounting and opens the customer record it will show the old primary contact.
Avoid the issue – Go into the accounting configuration in the Astra Schedule application and do a batch customer push. This will update everything correctly in the Object Accounting client.
Fix the issue – This issue will be addressed in a future version of 7.5.
Using Alternate Forms of Save in the Room Form Will Wipe Out New Room Prices Added or Edited - This will apply to users using the Accounting functionality in Astra Schedule. If a user makes price changes in the room form and then chooses to add a new room partition or add an effective date the application prompts the user they must save these changes before moving forward. Pressing the save button from that modal will not actually save any changes that may have been made to the price configuration of the room.
Avoid the issue – Press the main save button located at the bottom or the top of the page before adding an effective date or a new room partition.
Fix the issue – This issue will be addressed in a future version of 7.5.
Object Accounting: MSSQL Server 2012 is not Compatible with Accounting - This will apply to users using the accounting functionality in Astra Schedule. If a they have upgraded to MSSQL Server 2012 then they may experience errors which ultimately will not allow Object Accounting to access the database.
Avoid the issue – This is unfortunately unavoidable. At this time Astra Schedule does not support MSSQL Server 2012 with Object Accounting.
Fix the issue – This issue will be addressed in a future version of 7.5.
Resources Restricted to Multiple Locations Causes Erroneous Conflicts - This limitation will only impact users that use resources on Events. If a user schedules an event with resources that are restricted to more than one location, it will incorrectly show conflicts for those resources. The event will move to a scheduled status, however the warning message will indicate that it will remain incomplete which could be considered confusing.
Avoid the issue – Agree to conflicts. Event moves to a scheduled status.
Fix the issue – This issue will be addressed in a future version of 7.5.
Import/Exports:
Colleague UniData Realtime Functionality Not Included - (#00040206) The updated Colleague UniData interface does not yet support realtime imports from Colleague. Changes are being implemented to support realtime updates using the new Colleague interface method.
Avoid the issue – Use a scheduled batch import to import changes into the application on a regular basis.
Fix the issue – This is scheduled to be corrected in the next maintenance build of 7.5.12
Reporting:
Double Booked Activities Report is Not Recognizing New Effective Dated Room Name/Number.– (#00040206) If room building/room number was changed as part of an effective dated update, the Double Booked report will show the old building/room name for double booked activities occurring after the effective date.
Avoid the issue – There is no way to avoid this issue if changing room building/room numbers as part of an effective dated change.
Fix the issue – This is scheduled to be corrected in a future version of 7.5.
