Key Bug Fixes & Enhancements

Various bug fixes and minor enhancements may be included in this release.  The following is a list of key incidents by application area.  Please contact customer support for the status of any specific Astra Schedule case number not on this list.

 

 

*Institutions with Astra Schedule or SIS Oracle database platforms: Due to driver differences in versions 7.4.13 and above, verify that your Oracle Database has the latest patch upgrades (10g and 11g)

High Impact Fixes and Enhancements in 7.5.6

 

This section contains notes from the Product Managers on specific high-level issue corrections or feature enhancements completed in the most recent build of Astra Schedule.  Please review any issues listed under headings that impact your use of the product prior to installation.

 

Academic Scheduling:

Specific high impact issues corrected in this release include:

Exams:  Room usage policies are seen as a conflict on the "exam in same room" functionality causing some exams not to schedule.  This has been corrected. (# 00037474)

 

Preferences:  Deleted preference rules were not allowing saves to edited preference sets. (# 00035286, 00035872, 00036636, 00036820, 00037202, 00037962)

 

Optimizer:  Concurrent runs were erroring out on SQL database platforms due to record locking.

 

Optimizer:  Name column errored on filtering in results list pages.

 

Section Edit:  Cross-listed sections appeared in the ad hoc scheduler as conflicts.

 

Accounting:

Specific high impact issues corrected in this release include:

Astra Schedule resource hovers (rooms, equipment, services, etc.) now display the defined base unit or hourly prices.

 

Customer’s address and contact information now imports from Astra Schedule (00031104, 00034703).

 

Customer’s account number now imports from Astra Schedule (00032643).

 

Streamlined menus allow ObjAccting users to navigate the system with less confusion.

 

Estimates and Invoices now contain the resource’s meeting date for each line-item resource used.

 

Previously Role Security combined “Can Generate Estimates and Invoices in Astra Schedule” into one permission. As of 7.5.6, there are now two permissions: 1) Can Generate Estimates In Astra Schedule 2) Can Generate Invoices in Astra Schedule (00030854, 00028921).

 

Calendar:

A calendar activity API is now available for use by third party applications.  The API can provide details for all event and academic activities in various output formats, including vCal, Excel, text, RSS, and HTML

 

An all-new activity calendar is available with month, week, and day formats.  The new activity calendar is easily managed and deployed, and may be accessed directly via URL, or imbedded within another portal or website

 

Individual colors now define: Pre/Post Meetings and Setup/Teardown Meetings in the Activity Calendars

 

Events:

There is now an Active/Inactivate checkbox available for Event Types and Event Meeting Types (available from the respective Master Lists).

 

Event Meeting Type is now a drop-down field in the Quick Event form.

 

There is now an Active/Inactivate checkbox available for Customers and People records (available from the either the Customer or People forms).

 

Today’s date is no longer selected (by default) when using the Add Event Meeting functionality within the Event form, the Event Wizard, and Event Request form.

 

Phase II of the Event Request Template re-factor is now complete. This phase includes the following:

 

Event Request Templates now has “Save As” functionality.

 

If a Role has only one Event Request Template defined, the Requester will be taken directly to the form; If there is more than one Event Request Template defined for the Role, the Requester will be presented a drop-down field for selecting the appropriate form

 

Schedulers can now “View Event Request” in a separate window

 

Specific high impact issues corrected in this release include:

Users can now open person records with null email and customer contacts (00034904, 00035103, 00035223, 00035323, 00035885, 00036634, 00037249, 00037277, 00037363, 00037806, 00037754, 00038578, 00038822)

 

Checking the Customer Contact checkbox (under Responsibilities) on the People form no longer causes Instructor’s course information to disappear (00034793, 00036977)

 

Event Schedulers may now select multiple rooms (for a single meeting date/time) in the Assign Room tool (in the Event form) (00030099).

 

Holidays can now be successfully deleted from the Holidays/Announcements List page (00038396).

 

Requesters can no longer select and populate information into one Event Request form and then use the browser back button to repopulate the information into a different Event Request form. This issue was allowing Requesters the ability to bypass Location restricts associated within Event Request forms (00031539).

 

The Notifications List Event hovers now contain the Event Reservation Number.

 

The “From” or “Reply To” in Notifications and Event Summaries is now the User’s email address located in their People record.

 

Import/Export and System Configuration:

Specific high impact issues corrected in this release include:

ATE Import/Export - Error in Datatel Unidata Export. (#00037633)

 

ATE Import/Export - Canceled sections not coming in when configured in Datatel Unidata Import. (#00037641)

 

Reporting:

7.5+ Enhancements:

Added new events report that contains all resources, notes, pre/post, and  setup/teardown information for event meetings: “Events by Date and Time with Resources, Notes, and Pre-Post”

Known Limitations

High Impact Issues

This section contains notes from the Product Managers on specific high-level issues or feature restrictions that are known in the most recent build of Astra Schedule.  These issues are slated for upcoming themed product maintenance releases, but could potentially impact customers that upgrade to this build of the scheduling system.  Please review any issues listed under headings that impact your use of the product prior to installation.

Academic Scheduling:

Exam creation on cross-listed section meetings – (#00037941) When exam meetings are created for cross-listed section meeting patterns, it should create them as a cross-listed group of exam meetings.  The system currently does not cross-list the new exam meetings.

Avoid the issue – There is no way to avoid this issue if utilizing exam functionality.

Fix the issue – Exam meetings may be manually cross-listed from within one of the exam meetings.  This is scheduled to be corrected in version 7.5.7.

Exam meetings may be double-booked with other exams – (#00033440) The Ad Hoc Scheduling tool is not showing exam meetings as conflicts allowing the scheduler to double-book.

Avoid the issue – There is no way to avoid this issue if utilizing exam functionality.

Fix the issue – Be sure to check the double-booked report once exam scheduling is complete to avoid complication.  This is scheduled to be corrected in version 7.5.7.

Section Room Assignment – (5870) Schedulers with request only rights to a room are actually scheduling the room.  The selected room will be labeled as requested on the section meeting however the room usage will appear on the calendar and will be imported back to the student information system as if scheduled.

Avoid the issue – It is important to acknowledge that request room rights and schedule room rights work exactly the same way in the current version.  If a user must be restricted, remove access from both the schedule and request areas in security.

Fix the issue – There is no current fix for this issue.  It is currently on the product road-map for version 7.7.

Unable to delete a large Room Optimizer Run – (#00032450, 00036165) Attempting to delete a large optimizer run may time out before completing.  This is especially evident on Oracle based systems.

Avoid the issue – It is not possible to avoid the issue if deleting optimizer runs.

Fix the issue – Contact technical support for help deleting the run if necessary.  This is currently scheduled for repair in 7.5.7.

Cross-list members show as conflict in the Ad Hoc Scheduling tool – (#00037230, 00037548) Editing a cross-listed section to manually add it to the same room as it's partner sections will not allow room assignment and will show the partner sections as conflicts.

Avoid the issue – To update cross-listed room assignments, open one of the currently assigned members of the group in edit mode and save.  When asked, copy the room assignment to the other members of the group.

Fix the issue – This is currently scheduled for repair in 7.5.7.

New search filters in the Ad Hoc Scheduling tool do not load – (#00036381) Saved room filters time out on the "Loading" message.

Avoid the issue – Do not create search filters until this issue is repaired. (Delete any current filters.)

Fix the issue – This is currently scheduled for repair in the first stability release of 7.5.6.

Double-booking at the section meeting pattern level in the Ad Hoc Scheduling tool does not update all of the meeting instances – A room assigned via the Ad Hoc Scheduler to force a double-booking is displayed as assigned in the Meeting Info, but does not propagate down into the meeting instances

Avoid the issue – If double-booking a section at the meeting pattern level, expand the meeting instances in the Ad Hoc Scheduling tool and manually update each meeting instance to be double-booked.

Fix the issue – This is currently scheduled for repair in 7.5.7.

Calendars:

Search dates are allowed to be entered for weekly meetings without selecting a day of the week – Currently, the Available Room and Resource Tool is allowing users to add a Weekly search pattern without selecting Days Met.

Avoid the issue – Populate the Days Met field with applicable day(s). The user will receive the following information on the form: Every 1 week(s) on Invalid DaysMet BitMask from…. The search will not complete; the user does not receive a message to warn them of the situation.

Fix the issue – Delete the populated Search Dates meeting pattern and replace with a valid pattern. This issue will be addressed in an upcoming maintenance release of 7.5.6.

No available Equipment/Services are appearing in the search results – Currently, the Available Room and Resource Tool does not return Equipment and Service items that are available.

Avoid the issue – There is no known way to avoid this issue.

Fix the issue –This issue will be addressed in an upcoming maintenance release of 7.5.6.

User is allowed to create and event with the same start and end time – The user does not receive any warning that they are creating meetings with the same start and end time.

Avoid the issue – Validate that appropriate start and end times are populated prior to saving the meeting pattern.

Fix the issue –This issue will be addressed in an upcoming maintenance release of 7.5.6.

IE 8 and Windows 7 browser issue with Mini Calendars – Please note: this issue only occurs in IE 8 where Compatibility View is off. Elements (divider bars, etc.) can bleed through the Mini Calendar (date selection tool) on the Scheduling Calendars Day: Grid view.

Avoid the issue – Turn on Compatibility View.

Fix the issue – This issue will be addressed in a future version of 7.5.

Event Management:

Incorrect conflict warnings are appearing with Setup/Teardown windows after Sliding meeting times – These conflict warnings are invalid.

Avoid the issue – Save the event. The Event goes to a scheduled state without issue.

Fix the issue – This issue will be addressed in a future version of 7.5.

Data is not populating Custom fields when using the Edit Selected Meetings tool on the Event form – Data is not saved when using the Edit Event Meetings tool (for selected meetings) to add or modify Custom Fields.

Avoid the issue – There is no warning that the data did not save, when attempting to use this functionality. Do not use the Edit Selected tool to modify Custom Fields.

Fix the issue – This issue is addressed in an upcoming maintenance release of 7.5.6.

End Times are missing from Meeting forms – The End Time is not defaulting into the Meeting forms.

Avoid the issue – Enter an End Time when creating Meetings.

Fix the issue – This issue will be addressed in a future version of 7.5.

Cloned Events can schedule over Holidays – Cloned Events can be scheduled over Holidays that do not allow event scheduling. A conflict warning is given, but users without rights to override holidays (that restrict event scheduling) can override without issue.

Avoid the issue – Notify users that only a warning will be given in this situation.

Fix the issue – This issue will be addressed in a future version of 7.5.

Issues with User Defined Calendar Filters Not Displaying for Individual Users – The User Defined Calendar Filters did upgrade correctly, but there will be additional configuration (by the Astra Administrator). A functionality change (with Scheduling Calendars) has made calendars more reliable and predictable but unfortunately necessitates additional configuration. A Calendar, that is setup to ‘Allow Custom Filtering’ must be defined (and Role level view permission granted)  in order for User’s to be able to create/edit ‘Edit Search Filter’ and ‘Manage Filters’.

Avoid the issue – There is no way to avoid this issue if, prior to version 7.5.6.65, Users were allowed to define individual calendar filters.

Fix the issue – Astra administrators must create new Scheduling Calendar definitions (under Manage Calendars) that grant ‘Allow Custom Filtering’ functionality. Once defined, these calendar definitions should be applied to appropriate roles. For each role that requires restricted Scheduling Calendar permissions, create a Calendar definition that: 1) correctly restricts by Location and Resource; 2) contains any appropriate Pre-defined Filters; 3) Allows Custom Filtering

 

Role Level Permission Issues for Activity and Scheduling Calendars – The issue only occurs with an initial 7.5.x to 7.5.x upgrade. Currently, the only schools affected are the 7.5.5.88 to 7.5.6.65 beta/UAT testers, and only if Activity Calendars were defined in 7.5.5.88.  There is no issue in upgrading from 7.4.x (or lower) version to 7.5.6. In 7.5.5.88, there was only one Calendar permission: View Calendars (with the ability to restrict which calendars are accessible). In 7.5.6.65, there are two Calendar permissions: View Activity Calendars and View Scheduling Calendars (both with the ability to restrict which calendars, Activity or Scheduling, respectively, are accessible). The upgrade from 7.5.5.88 to 7.5.6.65 places all restrictions for either type of calendar on the View Scheduling calendar permission.

Avoid the issue – There is no way to avoid this issue if Astra Schedule was upgraded from 7.5.5.88 to 7.5.6.65 and Activity Calendars were defined.

Fix the issue – Astra administrators will need to release (manually) any defined Activity Calendars from the Scheduling Calendar restrictions, and in turn, place appropriate restrictions on the View Activity Calendar permission.

 

Portal Event Request Issue – This is not an issue for new Astra Schedule 7.5.6 installs. This is only an issue for schools upgrading from version 7.5.5.88 to 7.5.6.65. The Astra Home Portal, ‘Request an Event’ button (AstraFunctionsWebPart à Request an Event) is incorrectly pointed to the old 7.5.x Request page.

Avoid the issue – There is no way to avoid this issue if Astra Schedule was upgraded from 7.5.5.88 to 7.5.6.65.

Fix the issue – If you have this issue, contact Ad Astra Technical Support to set up a meeting with your school’s Astra Schedule DBA. Technical Support will work with your DBA to run an update script against the Astra Schedule database.

Import/Export:

Interface issue on job creation in IE7 browser – (#00036018) Creating or editing a batch SIS job in IE7 will result in an error message.

Avoid the issue – Upgrade the browser.

Fix the issue – This is scheduled to be corrected in version 7.5.7.

Installation/Upgrade

Upgrade from versions prior to 7.4.9 will error – Error Restoring Tables: TaskAgentJobRuns and TimeSchedules

Avoid the issue – There is no way to avoid this issue.

Fix the issue – The upgrade may be repaired after completion using a script provided by technical support.  This error is scheduled to be corrected in the next maintenance release of 7.5.6.

Import/Export:

Interface issue on job creation in IE7 browser – (#00036018) Creating or editing a batch SIS job in IE7 will result in an error message.

Avoid the issue – Upgrade the browser.

Fix the issue – This is scheduled to be corrected in version 7.5.7.

User Interface:

Saved Filters, on List Pages, cannot be modified and replaced successfully – Filters that have been previously saved (i.e. Event List, Section List, People, etc.) cannot be replaced.

Avoid the issue – Create a new Saved Filter and delete the old filter.

Fix the issue – This issue will be addressed in an upcoming maintenance release of 7.5.6.

Additional Known Issues

Calendars

Available Room and Resource Tool: Search dates are allowed to be entered for weekly meetings without selecting a day of the week.

 

Default calendar does not hold the first time Calendars is loaded (#00033812)

 

Declined room requests appear on the calendar, event list hovers and unable to schedule another event in that room (Case # 00039184, 00039376)

Buildings and Rooms

If you have multiple configurations with images the default image is what appears throughout the application (#00029373, 00031208, 00032454, 00032573, 00037850, 00037711)

 

When adding a new region and assigning it to effective dated rooms the region is being assigned to the oldest effective date. (#00036440)

 

Add Description column, filter text box errors when you enter text (#37263, 00037263, 00038623)

Customers/Contacts

Cannot associate a contact to more than one customer - error occurs

 

Equipment/Services

No available Equipment/Services are appearing in the search results on the scheduling form

 

Resource conflict checking is not happening in the ad hoc scheduler.

 

Cannot cancel resources either

 

Unable to view images for Collections. (#00033817)

 

Event Create/Edit/Schedule

 

Event Meetings Modal for Recurrence doesn't validate on N-day and Weekday in Month and Year selections

 

Event Form: Incorrect conflict warnings are appearing with setup/teardown windows after sliding the meeting times

 

Available Room and Resource Tool: Allowed to create an event with the same exact start and end time.

 

Event List: Cannot replace existing saved filters - SQL only

 

Event Meeting Grid: Start and End times are displaying incorrect times on a group level

Cloned Events: User can create an event meeting over a holiday that does not allow event/section scheduling.  

 

Event Form: Adding an ad hoc contact to an event does not require a valid email address  

 

Spanning Time Selection only accepts times After the Start Time and saves what you didn't choose (1 hour after start time)

 

If a user has a limitation on scheduling rooms but can request and view all rooms in the request form can only request rooms they can schedule in (#00032980, 00033873, 00034953, 00036023, 00036659, 00036831, 00037070, 00037340)

 

Unable to delete event meetings (#00033892, 00036705, 00037778)

 

Event Form: Required custom fields in the event meeting form do not give required warning before saving the event
