*Institutions with Astra Schedule or SIS Oracle database platforms: Due to driver differences in versions 7.4.13 and above, verify that your Oracle Database has the latest patch upgrades (10g and 11g)

 

New Development

 

This section contains notes from the Product Managers on specific high-level issue corrections or feature enhancements completed in the most recent build of Astra Schedule.  Please review any issues listed under headings that impact your use of the product prior to installation.

 

Scheduling Grids

This new feature is a replacement of the Scheduling Calendars in builds 7.5.10 and below. The primary purpose of the Scheduling Grids is to display activities associated to a specific room or resource. This will appear in a daily or weekly format. They are updated with a new EXTJS format so columns are now customizable and sortable which is consistent with most list pages in the application.

 

New Functionality in Scheduling Grids

Drag and drop event meetings

Expand/Collapse event meeting times

Customized Color Selector including gradient color for attendance/capacity

Drag and Drop Quick Event Creation

 

Calendar Subscription

This feature allows a guest or other user with access to an activity calendar to utilize an option to subscribe to changes to the calendar.  The subscribed user would receive email notifications any time a change was made, keeping them informed of new items, cancellation, and other changes.

For example, a student may wish to subscribe to a calendar of student activities on campus, so they are informed of events they may want to attend.

Printer Friendly Calendars

 The following formatting will be applied to printer-friendly views:

Print multiple pages to display all data on calendar as applicable.

Remove application header content and unnecessary controls and labels, as indicated in mockups.

Display days in standard order, starting w/ Sunday thru Saturday.  If user selects a date mid-week, display the dates just prior to and after the selected date.

Ensure that activity data will display clearly through shaded cells when printing grids.  (use shades that are light enough)

Include page numbers

Print the calendar and filter name to show the source

Print the time and date it was printed

 

PUE Restructure

Changes were made to the Astra Control Panel regarding upgrade versions, installation folders, and upgrading the database. For specifics regarding the new control panel please click here.

 

Faster Section/Event Combo Reports Available

 

Astra Schedule now includes a new reporting view (RoomActivitiesReportViewAll) that more efficiently combines section and event meeting activities for reporting. This will allow reports that combine section and event activities into one report, such as the Weekly Room Grid and All Activities for Selected Date Range by Building and Room report, to return results much faster.

 

However, in order to speed up the new view, the underlying user security applied to the view was removed.  So any report using the new view will show ALL activities to all report users (as opposed to filtering the results to only show activities that a user can see on the Astra Schedule section and event tabs like the current, existing reports).  Eleven new reports utilizing the new view are installed on the Astra web server in the Reports folder with 7.5.11, but by default are NOT viewable in the application after installation.  If an institution chooses to expose the new, faster reports (with the understanding they now show ALL activities to all report users) those reports can be manually added on the Reporting tab using the “Add a Report” button.  The eleven new reports can be found on the Astra web server in the following location:  [Install Directory]\Instances\[Instance Name]\Files\Reports\

Calendars

 

Calendars: Hovers are not being displayed for Exams as a Guest(Case #00032761)

Hovers on Calendar do NOT show data - AND - Bloated icons on rooms list(Case #00035972)

 

 

Campus/Building/Room Configuration

 

Room List: Typing in filter on room name column throws error in Oracle only(Case #00042377, 00045164)

 

 

 

Known Limitations

This section contains notes from the Product Managers on specific high-level issues or feature restrictions that are known in the most recent build of Astra Schedule.  These issues are slated for upcoming themed product maintenance releases, but could potentially impact customers that upgrade to this build of the scheduling system.  Please review any issues listed under headings that impact your use of the product prior to installation.

 

 

Calendars:

Default Scheduling Calendars – (42847, 43509) The system is allowing multiple default scheduling calendars to be defined within a role profile and is causing display issues.

Avoid the issue – Make sure to only mark one scheduling calendar as the default. If you are changing which calendar is the default, remove the default flag from one calendar before checking the default on another.

Fix the issue – There is no current fix for this issue. It will be addressed in a future version.

 

"My Customized" Calendar Filters Do not Upgrade (IN 17181) In the older scheduling calendar the user had the ability to create custom filters that once logged in as that user only they could see. Unless they were applied to a calendar definition as a "pre-defined" filter. In the new 7.5.11 calendars these filters do not appear anywhere. They are not in the upgraded calendar definitions. Only the filters applied to calendar definitions (pre-defined) show. The user that has created these customized filters will lose them if they upgrade.

Avoid the issue – This is unavoidable. If a user has created custom filters in previous versions, it does not upgrade to the new Scheduling Grids.

Fix the issue – There is no fix for this issue. Users must re-create personally customized filters.

 

Pre/Post and Setup/Teardown Meetings cannot be expanded nor use drag and drop functionality  While event meetings on the calendar may be expanded the pre/post and setup/teardown meetings that are associated to the event meeting cannot be extended out. However, if you expand an event meeting the associated meetings will move with it.

Avoid the issue – These types of meetings must be manually adjusted in the event form.

Fix the issue – There is no current fix for this issue. It will be addressed in a future version.

 

Printing the Scheduling Grids in Firefox does not display properly Times and Dates are not aligning correctly and the grid lines are also not appearing when actually printing out. The print preview will not display these results, only the actual print out. Only occurs in Firefox.

Avoid the issue – Using Internet Explorer to print out displays it correctly

Fix the issue – This will be addressed in the upcoming build of 7.5.12

 

Cannot Send an Event Summary from the Quick Event Form - In previous versions of 7.5. a user could immediately send an event summary once finished with the Quick Event Form. This button has been temporarily removed.  

Avoid the issue – Users must fill out the form then press the "Advanced Event Form" button. This takes the user to the event form which they may then modify the event and save. The send event summary button will become available and they can send from there.

Fix the issue – This will be addressed in the upcoming release of 7.5.12.

 

Creating a Calendar Definition with Filtered to an Effective Dated Room Causes Blank Calendar - When setting up the calendar definitions if a saved filter is created that identifies only one room and that room happens to be effective dated, then the calendar will render no results. This will also apply if a user has the ability to customize filters and they try to view  

Avoid the issue – Create a calendar definitions that contains more than just the one effective dated room and the correct data will appear on the calendars.

Fix the issue – This will be addressed in the upcoming build of 7.5.12.

 

Scheduling Grid Day view is Missing Capacity/Attendance in the Hovers:  - In previous versions of 7.5. the scheduling calendars provided the capacity/attendance in the day view hovers. This is no longer appearing in the hovers in the scheduling calendars nor the activity calendar.

Avoid the issue – If a user wishes to see the capacity or the attendance then they may click to view the details of the section or event meeting, which they may do by clicking the link provided within the hover.

Fix the issue – This will be addressed in the upcoming build of 7.5.12.

 

Events:

Creating Events with 350 Meetings or more may cause application to not complete event save - If an event is created with 350 or more more meetings then the application appears to freeze after selecting a room. This may vary between the amount of meetings and the data set of the institution, along with browser or other environmental settings.

Avoid the issue – Contact a technical support agent to change IIS settings. If this does not resolve the issue then create up to 300 meetings, save the event, and return back into the form to create additional meetings.

Fix the issue – This issue will be addressed in a future version of 7.5

 

Adding Sections to New Event Request Templates does not save correct placements - If a user adds a new section to an event template it cannot be moved down the form. Once the save button is pressed the section immediately moves back to the top of the screen.  

Avoid the issue –  Create a new section in the event request template layout. Add an available field to the section. Save the layout form and close. Edit the template layout again, move the section to the area desired. Edit the section name or display name and save.  New section will remain in place.

Fix the issue – This issue will be addressed in a future version of 7.5

 

Changing the primary contact in Astra Schedule does not update the first/last name field in the address row in Object Accounting - This will apply to users using the Accounting functionality in Astra Schedule. If a user changes the primary contact in the customer form within the Astra Schedule application and saves the customer record it does not update the Object Accounting client. When the user logs into Object Accounting and opens the customer record it will show the old primary contact.

Avoid the issue –  Go into the accounting configuration in the Astra Schedule application and do a batch customer push. This will update everything correctly in the Object Accounting client.

Fix the issue – This issue will be addressed in a future version of 7.5.

 

Using Alternate Forms of Save in the Room Form will Wipe Out New Room Prices Added or Edited - This will apply to users using the Accounting functionality in Astra Schedule. If a user makes price changes in the room form and then chooses to add a new room partition or add an effective date the application prompts the user they must save these changes before moving forward. Pressing the save button from that modal will not actually save any changes that may have been made to the price configuration of the room.

Avoid the issue –  Press the main save button located at the bottom or the top of the page before adding an effective date or a new room partition.

Fix the issue – This issue will be addressed in a future version of 7.5.

 

Object Accounting: MSSQL Server 2012 is not Compatible with Accounting - This will apply to users using the Accounting functionality in Astra Schedule. If a they have upgraded to MSSQL Server 2012 then they may experience errors which ultimately will not allow Object Accounting to access the database.

Avoid the issue –  This is unfortunately unavoidable. At this time Astra Schedule does not support MSSQL Server 2012 with Object Accounting.

Fix the issue – This issue will be addressed in a future version of 7.5.

 

Incorrect Room Usage/Conflicts Appear when Certain Resources are Booked - This limitation will only impact users that use resources on Events. If a user schedules an event with resources, it will incorrectly create room usage for the rooms that have the same primary key values as the resources that were scheduled. This will block those rooms from being able to be scheduled.    

Avoid the issue –  This is unfortunately unavoidable, however there is a fix available immediately through Technical Support.  

Fix the issue – This issue will be addressed in the upcoming build of 7.5.12. If you come across this in 7.5.11 please contact Technical Support for a patch regarding the two stored procedures that will fix this.

 

Reporting:

Double Booked Activities Report is not recognizing new effective dated room name/number.– (#00040206) If  room building/room number was changed as part of an effective dated update, the Double Booked report will show the old building/room name for double booked activities occurring after the effective date.

Avoid the issue – There is no way to avoid this issue if changing room building/room numbers as part of an effective dated change.

Fix the issue – This is scheduled to be corrected in a future version of 7.5.
