*Institutions with Astra Schedule or SIS Oracle database platforms: Due to driver differences in versions 7.4.13 and above, verify that your Oracle Database has the latest patch upgrades (10g and 11g)

 

New Development

 

This section contains notes from the Product Managers on specific high-level issue corrections or feature enhancements completed in the most recent build of Astra Schedule.  Please review any issues listed under headings that impact your use of the product prior to installation.

 

Academic Scheduling

Section Form – “Course Offering ID” Field: An additional field was added to the section form to store and display a unique ID number from a student information system to help institutions identify their section records.  A SIS ID value may be mapped to this field during import.

 

Dashboards

Dashboards: Ad Astra's Dashboard options provide state of the art data visualization for roll-up and drill-down analysis of data in Astra Schedule and Platinum Analytics as well as KPI metrics and comparative data analyzed in the Strategic Scheduling Checkup. 

 
Ad Astra Dashboards are an Astra Cloud hosted solution, which is capable of extracting data from client installations of Astra Schedule and Platinum Analytics databases over a secure Site-to-Site VPN connection.  Dashboard data can be refreshed nightly and on demand.

 

Licensing:

 

Astra Schedule Dashboard

The Astra Schedule Dashboard is available as an optional annual subscription for current Astra Schedule customers.

 

Platinum Dashboard

The Platinum Dashboard subscription is automatically included for Platinum Analytics customers.

 

KPI Dashboard

The KPI Dashboard is automatically included as part of a Strategic Scheduling Checkup.  This dashboard is provided to view the findings of the checkup and is available for one year.

 

Thereafter, customers may optionally subscribe to the KPI Dashboard to receive periodic refreshes of the data.

 

Accounting

Accounting Usability Improvements: Additional accounting integration is included to allow price configuration and additional pricing visibility within Astra Schedule.

 

Calendar

Day View for Activity Calendar: A “Day” view is added to the Activity Calendar.  This new view is very similar to the existing “List” view, but is automatically limited to a single day.  The "Day" view shows all filtered activities occurring on the selected date only, and answers "What is happening on this date?".  The "List" view shows all filtered activities from the selected date forward, and answers questions like "On what dates are the "Chess Club" meetings?".

 

Events

Event Meeting Deletion:  Astra Schedule now includes the option to delete event meetings from the event form. User must have “Delete Events” permissions granted. This will completely remove the event meetings and drop any rooms or resources along with pre/post meetings or setup/teardown windows associated to the meeting(s).

 

Basic Attendee Management: Astra Schedule now includes the option to record basic attendee data for events, optionally allow guest calendar visitors to sign up for events or meetings, and send email messages to attendees from within an event.

 

 

Reporting

Activities by Building/Room/Date Reports: Additional information regarding attendance/enrollment has been added to the activity reports included with Astra Schedule.

Workflows/Notifications/Approvals

 

Email: Must Issue an AUTH command first(Case #00043338, 00043032)

Approve/Deny Notification: User doesn't receive a resource/room approved/request for more information email if they went through the event wizard, advanced event form or quick event form to request a room/resource(Case #00043872, 00043871)

 

Known Limitations

This section contains notes from the Product Managers on specific high-level issues or feature restrictions that are known in the most recent build of Astra Schedule.  These issues are slated for upcoming themed product maintenance releases, but could potentially impact customers that upgrade to this build of the scheduling system.  Please review any issues listed under headings that impact your use of the product prior to installation.

 

Academic Scheduling:

Section Room Assignment – (5870) Schedulers with request only rights to a room are actually scheduling the room.  The selected room will be labeled as requested on the section meeting however the room usage will appear on the calendar and will be imported back to the student information system as if scheduled.

Avoid the issue – It is important to acknowledge that request room rights and schedule room rights work exactly the same way in the current version.  If a user must be restricted, remove access from both the schedule and request areas in security.

Fix the issue – There is no current fix for this issue.  It is currently on the product road-map for version 7.7.

Calendars:

IE 8 and Windows 7 browser issue with Mini Calendars – Please note: this issue only occurs in IE 8 where Compatibility View is off. Elements (divider bars, etc.) can bleed through the Mini Calendar (date selection tool) on the Scheduling Calendars Day: Grid view.

Avoid the issue – Turn on Compatibility View.

Fix the issue – This issue will be addressed in a future version of 7.5.

Default Scheduling Calendars – (42847, 43509) The system is allowing multiple default scheduling calendars to be defined within a role profile and is causing display issues.

Avoid the issue – Make sure to only mark one scheduling calendar as the default. If you are changing which calendar is the default, remove the default flag from one calendar before checking the default on another.

Fix the issue – There is no current fix for this issue. It will be addressed in a future version.

Events:

Resources restricted to specific locations are being allowed in other locations –  If a resource has been restricted to a specific location (building, region, campus, room) it is appearing as available with no restrictions if a room has previously been selected in an event. Conflict warnings are not given until the event save button has been pressed. If the user agrees to conflicts the event moves to a scheduled status. All rooms and resources appear in a scheduled status, however the resource is not officially booked. Will appear available for other events.  This is also not behaving correctly if the user selects the resource first. Rooms that the resource are not allowed in will appear in the ad hoc scheduler.

Avoid the issue – Do not agree with conflict warnings. User must go hover over conflict warning and change the resource or the room.

Fix the issue – This issue will be addressed in a future version of 7.5.

 

Creating Events with 350 Meetings or more may cause application to not complete event save - If an event is created with 350 or more more meetings then the application appears to freeze after selecting a room. This may vary between the amount of meetings and the data set of the institution, along with browser or other environmental settings.

Avoid the issue – Contact a technical support agent to change IIS settings. If this does not resolve the issue then create up to 300 meetings, save the event, and return back into the form to create additional meetings.

Fix the issue – This issue will be addressed in a maintenance release of 7.5.7.

 

Adding Sections to New Event Request Templates does not save correct placements - If a user adds a new section to an event template it cannot be moved down the form. Once the save button is pressed the section immediately moves back to the top of the screen.  

Avoid the issue –  Create a new section in the event request template layout. Add an available field to the section. Save the layout form and close. Edit the template layout again, move the section to the area desired. Edit the section name or display name and save.  New section will remain in place.

Fix the issue – This issue will be addressed in a maintenance release of 7.5.7.

 

Asking for More Information through the Notification List does not provide an email address to reply to for internally requested rooms or resources -  If a user that has permissions to create/edit events but does not have permissions to certain rooms or resources sends a request for a room or resource and the approver of the room/resource needs more information for or denies the request there is not a way for the requester to reply directly back. The requester must have a notification queue set up to receive the notification that more information has been requested. However, within the email received there is not a reply to address they may respond to.

Avoid the issue –  Users may log out of Astra Schedule and request the room or resource through the guest request templates. Or once the email is received that they have new notifications they may edit their event and add a note providing more information to the room/resource approver.  The name of the room/resource approver is also found in the event and an email address can be located through the event to externally create an email.

Fix the issue – This issue will be addressed in a future version of 7.5.

 

Text added to "Declined", "Approved" or "Need More Information" Confirmation Comments does not appear in the notification email received by requester -  This will apply to internal Astra Schedule room/resource requesters only. Guests will receive emails with the text provided. The notification email must be set up during configuration of event schedulers. Once an email is received the requester will see that more information has been asked for but any text added by the approver is not found within the email.

Avoid the issue –  Users will need to navigate to the notification list (link is provided in the notification email) and add additional columns. Select the "Additional Info Text" and expand the column.  The text along with the room or resource information will be provided there.

Fix the issue – This issue will be addressed in a future version of 7.5.

 

Editing an event with accounting creates error message: -  This will apply to Astra Schedule users with accounting installed only. When trying to change an event with an incomplete status to a scheduled status after the user hits save an error regarding a duplicate key row in object will appear. User must then click okay and the event will not be saved with the new changes.  

Avoid the issue –  If the user has object accounting installed at this time there is not a defined work-around. However, we do have a patch available to install to fix the issue.

Fix the issue – Please contact our Technical Support team in order to resolve this issue immediately. It will be resolved in the next of release of 7.5.7.

 

 

Reporting:

Double Booked Activities Report is not recognizing new effective dated room name/number.– (#00040206) If  room building/room number was changed as part of an effective dated update, the Double Booked report will show the old building/room name for double booked activities occurring after the effective date.

Avoid the issue – There is no way to avoid this issue if changing room building/room numbers as part of an effective dated change.

Fix the issue – This is scheduled to be corrected in version 7.5.9.

 

Reviews

Best bug fix - Event Wizard: When selecting more than one room on the first page and then going to the second page the room selections are not being maintained – Event Schedulers are over joyed that issue has been resolved.

 

Best New Development – Dashboards specifically Astra Schedule dashboard – we are seeing very similar results with regards to capacity analysis to our recently completed Strategic Scheduling Checkup. Dashboard is a get tool for visualizing and drilling down into the data.

 

Recently Found Limitations – Creating a spanning event into room which has usage controls results in error pop up window and event cannot be scheduled.

 

Stability - Ad Astra continues to maintain a very stable core product. I continually have to modify and expand test scenarios to find issues and in most cases these are extremely minor irritants which workarounds are available or result in product enhancement request to make the product even better.
