New Development
This section contains notes from the Product Managers on specific high-level issue corrections or feature enhancements completed in the most recent build of Astra Schedule. Please review any issues listed under headings that impact your use of the product prior to installation.
Academic Scheduling
Section Form – “Course Offering ID” Field: An additional field was added to the section form to store and display a unique ID number from a student information system to help institutions identify their section records. A SIS ID value may be mapped to this field during import.
Dashboards
Dashboards: Ad Astra's Dashboard options provide state of the art data visualization for roll-up and drill-down analysis of data in Astra Schedule and Platinum Analytics as well as KPI metrics and comparative data analyzed in the Strategic Scheduling Checkup.
Ad Astra Dashboards are an Astra Cloud hosted solution, which is capable of extracting data from client installations of Astra Schedule and Platinum Analytics databases over a secure Site-to-Site VPN connection. Dashboard data can be refreshed nightly and on demand.
Licensing:
Astra Schedule Dashboard
The Astra Schedule Dashboard is available as an optional annual subscription for current Astra Schedule customers.
Platinum Dashboard
The Platinum Dashboard subscription is automatically included for Platinum Analytics customers.
KPI Dashboard
The KPI Dashboard is automatically included as part of a Strategic Scheduling Checkup. This dashboard is provided to view the findings of the checkup and is available for one year.
Thereafter, customers may optionally subscribe to the KPI Dashboard to receive periodic refreshes of the data.
Accounting
Accounting Usability Improvements: Additional accounting integration is included to allow price configuration and additional pricing visibility within Astra Schedule.
Calendar
Day View for Activity Calendar: A “Day” view is added to the Activity Calendar. This new view is very similar to the existing “List” view, but is automatically limited to a single day. The "Day" view shows all filtered activities occurring on the selected date only, and answers "What is happening on this date?". The "List" view shows all filtered activities from the selected date forward, and answers questions like "On what dates are the "Chess Club" meetings?".
Events
Event Meeting Deletion: Astra Schedule now includes the option to delete event meetings from the event form. User must have “Delete Events” permissions granted. This will completely remove the event meetings and drop any rooms or resources along with pre/post meetings or setup/teardown windows associated to the meeting(s).
Basic Attendee Management: Astra Schedule now includes the option to record basic attendee data for events, optionally allow guest calendar visitors to sign up for events or meetings, and send email messages to attendees from within an event.
Reporting
Activities by Building/Room/Date Reports: Additional information regarding attendance/enrollment has been added to the activity reports included with Astra Schedule.

Events
•Event Form: Deletion of Set-up and Tear-down services causes events to error out.(Case #00042181, 00046601)
•Event Form: When in edit selected for multiple meetings and sliding the time upon save it makes the event incomplete. Must go back into event change drop down to scheduled and schedules event.(Case #00044536)
•Event Form: Error received when viewing notification history button(Case #00046774)
•Event Form: When ignoring set up time it still appears to be holding the room.(Case #00047094)
Reporting
•Report Subscription Form: if you select HTML 4.0 the reports won't go out and an error appears in log files(Case #00046939)
Section Edit/Schedule
•Exams: Request Conflict Checking for Exams Meetings during Exam Creation(Case #00046809)
•Section Form: the colon after SIS Key is duplicated(Case #00047129)
This section contains notes from the Product Managers on specific high-level issues or feature restrictions that are known in the most recent build of Astra Schedule. These issues are slated for upcoming themed product maintenance releases, but could potentially impact customers that upgrade to this build of the scheduling system. Please review any issues listed under headings that impact your use of the product prior to installation.
Academic Scheduling:
Section Room Assignment – (5870) Schedulers with request only rights to a room are actually scheduling the room. The selected room will be labeled as requested on the section meeting however the room usage will appear on the calendar and will be imported back to the student information system as if scheduled.
Avoid the issue – It is important to acknowledge that request room rights and schedule room rights work exactly the same way in the current version. If a user must be restricted, remove access from both the schedule and request areas in security.
Fix the issue – This issue will be addressed in a future version of 7.5
Calendars:
IE 8 and Windows 7 browser issue with Mini Calendars – Please note: this issue only occurs in IE 8 where Compatibility View is off. Elements (divider bars, etc.) can bleed through the Mini Calendar (date selection tool) on the Scheduling Calendars Day: Grid view.
Avoid the issue – Turn on Compatibility View.
Fix the issue – This issue will be addressed in a future version of 7.5.
Default Scheduling Calendars – (42847, 43509) The system is allowing multiple default scheduling calendars to be defined within a role profile and is causing display issues.
Avoid the issue – Make sure to only mark one scheduling calendar as the default. If you are changing which calendar is the default, remove the default flag from one calendar before checking the default on another.
Fix the issue – There is no current fix for this issue. It will be addressed in a future version.
Holidays that end on the 1st of the Month are not appearing on the Activity Calendar – If a holiday that spans over more than 2 days and ends on the 1st day of the next month, then the holiday does not show on the very last day of the spanned occurrence. The holiday is still recognized by event and section scheduling, so no double booking is occurring. It is also appearing correctly on scheduling calendars.
Avoid the issue – Create a standalone holiday that is titled the same as the spanned holiday.
Fix the issue – This issue will be addressed in a future version of 7.5.
Events:
Creating Events with 350 Meetings or more may cause application to not complete event save - If an event is created with 350 or more more meetings then the application appears to freeze after selecting a room. This may vary between the amount of meetings and the data set of the institution, along with browser or other environmental settings.
Avoid the issue – Contact a technical support agent to change IIS settings. If this does not resolve the issue then create up to 300 meetings, save the event, and return back into the form to create additional meetings.
Fix the issue – This issue will be addressed in a future version of 7.5
Adding Sections to New Event Request Templates does not save correct placements - If a user adds a new section to an event template it cannot be moved down the form. Once the save button is pressed the section immediately moves back to the top of the screen.
Avoid the issue – Create a new section in the event request template layout. Add an available field to the section. Save the layout form and close. Edit the template layout again, move the section to the area desired. Edit the section name or display name and save. New section will remain in place.
Fix the issue – This issue will be addressed in a future version of 7.5
Changing the primary contact in Astra Schedule does not update the first/last name field in the address row in Object Accounting - This will apply to users using the Accounting functionality in Astra Schedule. If a user changes the primary contact in the customer form within the Astra Schedule application and saves the customer record it does not update the Object Accounting client. When the user logs into Object Accounting and opens the customer record it will show the old primary contact.
Avoid the issue – Go into the accounting configuration in the Astra Schedule application and do a batch customer push. This will update everything correctly in the Object Accounting client.
Fix the issue – This issue will be addressed in a future version of 7.5.
Selecting a non-primary customer contact from an Event request does not update event meetings - If an event approver changes the customer contact from a primary contact to a non-primary contact at the event level in the advanced event form it is not changing the event meeting customer contacts. If the event scheduler opens an individual event meeting it will still show the primary contact that was auto-populated upon choosing the Customer.
Avoid the issue – Select the check boxes to all event meetings that the scheduler needs to change customer contacts on and click the "Edit Selected" button. Change the customer contact. Apply and save changes to the event form.
Fix the issue – This issue will be addressed in a future version of 7.5.
Using alternate forms of save in the room form will wipe out new room prices added or edited - This will apply to users using the Accounting functionality in Astra Schedule. If a user makes price changes in the room form and then chooses to add a new room partition or add an effective date the application prompts the user they must save these changes before moving forward. Pressing the save button from that modal will not actually save any changes that may have been made to the price configuration of the room.
Avoid the issue – Press the main save button located at the bottom or the top of the page before adding an effective date or a new room partition.
Fix the issue – This issue will be addressed in a future version of 7.5.
Reporting:
Double Booked Activities Report is not recognizing new effective dated room name/number.– (#00040206) If room building/room number was changed as part of an effective dated update, the Double Booked report will show the old building/room name for double booked activities occurring after the effective date.
Avoid the issue – There is no way to avoid this issue if changing room building/room numbers as part of an effective dated change.
Fix the issue – This is scheduled to be corrected in a future version of 7.5.
